Purpose and Scope

This policy outlines how I, as a social media marketing coach and trainer, use automated technologies/ artificial intelligence (AI) tools to support the development of content and services on this website, www.swallowtailsocial.com and within my business. It covers the use of AI technologies including, but not limited to, ChatGPT (by OpenAI), DALL-E (for image generation), and Ideogram (for image generation). It also outlines how these tools are integrated into my coaching and training offerings.

This policy is intended to promote transparency, uphold ethical standards, and protect the rights and privacy of website users and clients. It is not a legal mandate.

AI Usage Guidelines

AI tools are used thoughtfully and sparingly for business productivity, such as and not limited to the following areas:

  • Content Ideation and Support: I use/ have previously used ChatGPT for brainstorming, structuring, and occasionally proofreading blog content or web copy.
  • Visuals and Graphics: I use/ have previously used DALL-E and Ideogram to generate/ edit selected images used in blog posts or on social media, particularly for concept-driven or abstract visuals.
  • Client Training: I demonstrate/ have previously demonstrated the practical use of AI tools such as ChatGPT, Ideogram, and the Canva AI and ‘Magic Studio’, in workshops and 1:1 sessions to help clients explore time-saving, productive ways to enhance their own marketing efforts.

AI is not used to create, edit and/or analyse personal client materials, strategies, data interpretation, or any content that reflects direct experience, current best practices, insight or expertise. All copy for my coaching materials and tutorials, social media captions, email marketing campaigns/ newsletters, client case studies, correspondence (digital and print) and analysis shared with clients are entirely my own work and protected under copyright.
These are factually accurate at time of writing and not artificially generated.

Transparency and Disclosure

Whenever AI has been used in the creation of content, such as visuals for blogs or support with content structure, this will be transparently disclosed where possible (eg in blog footnotes or image captions).
AI-generated content is used for demonstrative or illustrative purposes only and should not be relied upon for specific accuracy or unverified completeness.

All opinions, educational content, and examples shared on this site and/or within my marketing and/or services reflect my personal expertise, professional experience, and ethical values.

Ethical Considerations

I am committed to the responsible use of AI. I take care to:

  • Avoid the use of AI-generated content in any context where it might compromise the accuracy, empathy, or individual creativity that are core to my coaching and teaching style.
  • Be mindful of potential biases or limitations inherent in AI tools, especially around inclusivity and diverse representation.
  • Stay informed about how these tools evolve and ensure they align with my professional standards and values.

Data Handling

No client data is ever input into AI tools. I do not use AI for processing, storing, or analysing any personal or sensitive client information.

AI tools used on this website do not access or store personal data of visitors or clients. I only collect personal information through secure, consent-based methods (eg contact forms or workshop ticket registrations), and such data is handled in accordance with my full Privacy Policy.

Monitoring and Review

This AI Use Policy is reviewed regularly to ensure it reflects current practices and the evolving landscape of AI tools and ethical standards. Updates will be posted on this page with a date of revision.

I also welcome feedback and questions from users and clients to help improve this policy and ensure clarity and trust.

Revised: 3 July 2025

This AI Usage Policy was created with inspiration from legal expert Suzanne Dibble and the Marketing Al Institute via their Creative Commons Responsible Al Manifesto.
I also asked ChatGPT to check this policy for me, though I chose not to follow its suggested changes to the content, only amending the structure.
